How Aldine Plans Your Day

Running a family office means juggling investment decisions, operational tasks, and family requests all at once. The operational side alone generates enough work to fill a day. Add portfolio reviews, compliance deadlines, and a family member asking you to sort out insurance or plan a trip, and suddenly you are underwater. Here is one way Aldine can keep everything on track so nothing gets missed.

The problem

When you are managing multiple workstreams, things get scattered. Emails in one place, tasks in another, calendar somewhere else, and the context you actually need to make good decisions sitting in documents, past conversations, or someone's head. The question every morning becomes: what actually matters today?

Most people try to solve this with discipline. Check email, scan the calendar, try to remember what is overdue. That works when things are calm. But when the pressure builds and everything feels urgent at the same time, prioritisation breaks down. Important things slip through because you are busy reacting instead of planning.

The system: Today and Suggested

Aldine uses a daily planning system with two categories across all your projects. Today are the tasks you must complete today. Non-negotiable. These are automatically identified every morning based on due dates, urgent priority items, tasks linked to meetings happening that day, and emails requiring same-day action. Suggested are the tasks Aldine recommends based on what it knows about your overall goals. Aldine keeps context on your weekly, monthly, and yearly objectives and uses that to surface what would actually move the needle today. It considers upcoming deadlines, quick wins, and items that have been sitting too long. Over time, Aldine learns from your feedback. When you move a suggested task to today or push it back, it adjusts its understanding of what is reasonable to achieve in a day. The prioritisation gets sharper the longer you work together.

Every morning, you open one view and see both lists across every project. You move what you want from Suggested into Today. That is your plan. Both you and Aldine see the same plan and work from it together, just like you would with a personal executive assistant.

This is just one of the systems you can ask your Aldine to follow, but it is not the only one. If you prefer weekly planning over daily, or want Aldine to just handle everything without asking, it adapts to that too.

Assign it to Aldine and forget it

Some tasks do not need you at all. Research a competitor? Draft a report? Fill out a compliance form? Extract data from invoices and put them into a spreadsheet? Just assign it to Aldine the same way you would assign it to a team member. Aldine picks up the task, executes it, and posts the results. When it is done, it moves the task to review for you to verify. You wake up to completed work.

The safety net

The system has built-in safeguards. Overdue tasks never vanish. They keep showing up until done or explicitly deprioritised. Every Friday, all open tasks across all projects get scanned for anything stale or missing a deadline. Tasks overdue by three or more days automatically get bumped in priority. Tasks without due dates get flagged periodically so nothing hides in the backlog.

Why this matters for family offices

Family offices deal with a unique mix: investment decisions, compliance deadlines, family requests, estate planning, and operational overhead, all at once. The volume of work creates real pressure. Missing a compliance deadline has consequences. Forgetting to follow up on a deal means lost opportunities. And the constant context switching between family matters and business matters is exhausting.

Hiring someone to take the load off is one option, but it comes with its own challenges. Finding the right person, onboarding them, trusting them with sensitive information, and managing them on top of everything else. It does not always reduce the pressure, it sometimes adds to it. Aldine removes that friction. It starts working from day one, keeps full context of your operation, and gets better over time. No recruitment, no training, no management overhead. Every morning starts with clarity: what must happen today, what should happen today, and what is already being handled.
